DATA ACCESS & EXPORT POLICY

At Ring Leader CRM, we are committed to protecting the privacy and confidentiality of your personal information. This Privacy Policy outlines how we collect, use, disclose, and safeguard your information when you visit our website or engage with our training and coaching services. By accessing our website or using our services, you consent to the terms outlined in this Privacy Policy.

As part of our commitment to providing exceptional service and transparency, we want to inform you of our cancellation policy. Please carefully read the following terms and conditions before becoming a member of Real Estate University.

Membership Commitment:

By enrolling in Ring Leader CRM, you agree to an initial 6-month commitment. During this time, cancellations and refunds will not be available. This minimum term reflects the significant setup and onboarding work completed on your behalf at the start of your membership, and ensures you have sufficient time to fully explore the platform, implement its features, and experience the full value Ring Leader CRM has to offer.

Trial Period:

We offer a 21-day trial period for new members. If you do not see the value in our platform, you may cancel your membership before the trial period ends. To cancel, you must provide written notice via email at least 48 hours before day 21. Please send cancellation requests to: [email protected]

Cancellation:

Cancellation must be submitted through email to [email protected] and a phone conversation with our team may be required for all cancellation requests before processing.

Additional Terms:

* Memberships are non-transferable.

* We reserve the right to terminate your membership at any time, without notice, if you violate any of our policies or engage in inappropriate behavior.

* By becoming a member, you agree to abide by all of our policies and procedures.

By using our services, you acknowledge that you have read, understood, and agreed to the terms set forth in this policy.


Effective Date: June 1, 2024

This policy outlines how data is handled during the term of service and what occurs if the agreement between Ring Leader CRM (“Company”) and the Client is terminated for any reason.

General Data Policy

1.1 Data Ownership

• Client retains ownership of all business data created or uploaded into their account.
• Ring Leader CRM does not claim ownership of Client contacts, records, or customer information.
• Ring Leader CRM retains ownership of its proprietary systems, automation structures, workflows, AI configurations, templates, scripts, training materials, and intellectual property.

1.2 Platform Infrastructure

Ring Leader CRM operates on the GoHighLevel platform infrastructure.

• Data is stored within the GoHighLevel system and associated third-party providers (e.g., SMS carriers, email providers, phone providers).
• Backup, redundancy, and infrastructure security are managed at the platform level.
• Ring Leader CRM does not maintain separate independent backup servers outside of the platform.

1.3 Client Responsibility

Clients are responsible for:

• Maintaining periodic independent backups of critical data.
• Ensuring proper consent for SMS/email communications.
• Managing third-party integrations connected to their account.
• Protecting login credentials and access permissions.

1.4 Data Retention During Active Service

While the account is active and in good standing:

• Data remains accessible within the platform.
• Ring Leader CRM does not delete client data except at client request or for policy violations.
• Accounts not in good standing (non-payment or breach) may be suspended.

2. Account Termination Policy

This section applies if the agreement is terminated by either party.

2.1 Termination by Client

If the Client cancels service:

• Written notice is required.
• Account must be in good financial standing.
• Client may request a data export within 7 business days of termination.

2.2 Termination by Ring Leader CRM

Ring Leader CRM may terminate or suspend service for:

• Non-payment
• Breach of agreement
• Messaging compliance violations
• Illegal, abusive, or prohibited content
• Carrier or platform policy violations

In such cases, access may be restricted immediately.

2.3 Data Export Upon Termination

If the account is in good standing:

• Client may request export of eligible data.
• Export request must be submitted within 7 business days of termination.
• Data will be provided within 5–10 business days after request approval.

Eligible exports include:

• Contacts and custom fields (CSV)
• Pipeline/opportunity records (CSV)
• Forms and survey submissions (CSV)
• Media files uploaded by Client (ZIP archive)

2.4 Non-Transferable Assets

The following are not transferable:

• Workflows and automation structures
• AI agent configurations and prompt frameworks
• Templates and proprietary scripts
• Sales systems designed by Path to Mastery LLC
• Training platform access
• Internal architecture

These remain the intellectual property of Path to Mastery LLC, a parent company of Ring Leader CRM.

2.5 Retention Period

• Accounts may remain accessible for up to 30 days following termination unless suspended for cause.
After 30 days, the account and associated data may be permanently deleted without further notice. It is the client's responsibility to submit a data export request within the 30-day window following termination. Ring Leader CRM is not liable for any data loss resulting from failure to do so.
• Ring Leader CRM is not responsible for data not requested or downloaded within this window.

2.6 Messaging & Phone Services

If SMS, A2P registration, phone numbers, domains, or integrations are involved:

• Transfer must be coordinated separately.
• Ring Leader CRM does not guarantee transferability of carrier registrations.
• Compliance obligations transfer to the Client upon termination.

3. Limitation of Liability

Ring Leader CRM is not liable for:

• Platform-level outages
• Third-party infrastructure failures
• Carrier filtering or fines
• Client-side deletion
• Failure to request export within the retention window
• Data incompatibility with other systems

Service is provided “as is” without guarantee of uninterrupted availability.

4. Good Faith Transition

Even if service ends, Ring Leader CRM will act in good faith to provide reasonable data access within the parameters outlined above.
